Job Vacancy: Program Assistant

Nairobi

JSI Research & Training Institute, Inc., a leader in the field of international public health, is currently recruiting for a program Assistant for the Funds Manager Dreams Innovation Challenge (DREAMS IC) Project, funded by the US Department of State Office for Global AIDS Coordination (OGAC).

The Program Assistant will provide a range of Program support for the project, implemented 10 Countries in Africa.

S/he will be based in Nairobi, Kenya and support the Kenya program with periodic administrative support to coordination at regional level for Kenya, Tanzania and Uganda.

This position will report to the Senior Program Manager based in Kenya.

The position is for 3 months with a possibility of extension to 8 months.

Responsibilities:

The Program Assistant will provide general Support, with a focus on the program and administrative functions of the DREAMS IC in-country.

S/he will provide support which includes, but is not limited to:

Program Support

  • Provide program assistance to the Regional Director, and the Program and Grants Management team in the DREAMS IC
  • Assist in organizing monitoring meetings with IC implementing partners to review the projects progress on periodic basis
  • Support work planning and scheduling of program activities and maintain documentation around the same
  • Write and share meeting minutes and follow up on action points generated
  • Participate in staff, meetings, local events and trainings as needed

Coordination / Administrative Support

  • Support in organization / preparation of workshops and meetings with Key focal persons and DREAMS IC Partners
  • Assist on logistical functions including travel for the DREAMS IC
  • Support the Finance & Administration Manager in reviewing internal financial accountability documents
  • Coordinate and submit cash projections for the office
  • Organize and maintain the DREAMS IC project files and database

Qualifications:

  • Bachelor’s degree required (Project Management, Social Sciences, Public Health preferred)
  • Minimum one years’ experience in Project Management and Administration;
  • Demonstrated attention to detail, multitask, meet deadlines and work independently and cooperatively with team members
  • Excellent written and verbal communication and relationship building skills, especially in a cross-cultural environment, and ability to analyze and solve problems, persuade, network and negotiate
  • Proven ability to solve problems independently without direct supervision.
  • Strong time management/task prioritization skills.
  • Computer proficiency in Microsoft Office Suite required
